How to scan a birth certificate with your phone
Updated
Here is how to scan a birth certificate with your phone: lay it flat in soft light, let Doc Scanner find the edges and straighten the page, then share it as a High-quality PDF in the Original page size. Doc Scanner by Ginowl works on iPhone and Android, adds no watermark to your pages, shows no ads and doesn't ask you to sign up before your first scan.
Scanning, filters and PDF export are all on the free plan. One honest note before you start: a scan is a copy for your own records or for an office that accepts copies. It is not a certified copy, and the security pattern printed on many certificates is designed to show up on copies.

How to scan a birth certificate in 4 steps
Lay it flat
Unfold the certificate and place it on a flat, dark, non-shiny surface such as a wooden table. If it lives in a plastic sleeve that reflects light, slide it out carefully first.
Scan it with Document mode
Open Doc Scanner, tap the camera button in the middle of the bottom bar and keep the camera on Document. Hold the phone parallel to the page: smart edge detection finds the corners, corrects the perspective and captures the page. If the back carries a stamp, an amendment or a registrar's note, scan it as the next page of the same scan.
Check crop and colour
Open the document and tap Crop to fine-tune the corner handles. Tap Edit and keep Original, or choose Magic Color for a brighter page; Grayscale gives a printer-friendly copy.
Share it as a PDF
Tap the share icon, choose PDF, set Quality to High and Page Size to Original (or A4 / Letter if a form asks for it), then tap Share to send or upload it, or Print.
Scan a birth certificate in 4 steps
You don't need a flatbed scanner or a copy shop. A birth certificate is a single sheet, which is exactly what a phone scanner does best: Doc Scanner detects the four corners of the page, flattens the perspective so the text runs straight, and saves a clean image instead of a tilted photo of a table. The steps above take about as long as unfolding the paper.
Your iPhone has a built-in scanner in the Notes and Files apps, and Android phones can scan with Google Drive. They are fine for a quick one-off page. Doc Scanner is built for documents you will need again: you choose the PDF quality and page size, pick from six filters, keep the certificate in a named folder, and every PDF you export gets an invisible text layer, so the file is searchable. All of that is on the free plan, with no watermark stamped on your copy.
If you are collecting several personal records at once, the same steps work to scan a passport or a Social Security card, and you can keep them all together in one folder.
Keep the right proportions (Original, A4 or Letter)
Birth certificates come in many shapes, from full sheets to smaller short-form abstracts. When you share the scan, the Page Size option decides how the PDF page is shaped:
- Original keeps the certificate's own proportions. Use it for your records and for most uploads, because nothing is stretched or padded.
- A4 places the page on a standard A4 sheet, the usual choice outside North America.
- Letter places it on a US Letter sheet, handy when the recipient will print it on a home or office printer.
Pick High quality for the copy you keep. If an upload form rejects large files, export a second copy at Medium; small seals and fine print usually stay legible. Low is for a quick preview in a chat, not for anything official. If you scanned the back too but only the front is needed, tap Select pages on the Share screen and export just that page.
Get the colours and seal readable
Many certificates carry a raised (embossed) seal, coloured borders and fine background printing. A few habits make them come out crisp:
- Use soft, even light. Daylight from a window works well. Avoid the flash: it flattens an embossed seal and can bounce off glossy paper.
- Let the seal cast a shadow. Light coming slightly from one side makes a raised seal visible. Turn the page or move the lamp until you can see the seal on screen.
- Laminated certificate? Tilt the phone a little until the bright reflection leaves the text, then scan.
- Keep colours faithful. Original or Magic Color keeps a coloured border, a signature and a seal looking like the real thing. Use Grayscale only when the recipient wants a black-and-white print.
- Zoom in before you send. Names, dates and the certificate number should be sharp at full size. If not, scan again; it takes seconds.

Why a copy may show 'VOID'
If your scanned birth certificate says VOID or COPY across the background, nothing is wrong with your phone or with Doc Scanner. Many vital records offices print certificates on security paper with a hidden pattern that is designed to appear when the document is photocopied or scanned. It marks the image as a reproduction, which is exactly its job.
Don't try to remove or hide that pattern with filters or editing. A copy that shows it is an honest copy, and that is what most recipients who accept copies expect to see.
What a scan is good for: your personal records, an online form that asks you to upload a copy, or sending a copy to a family member, a school or your own advisor. When an agency asks for the original or a certified copy, a scan can't replace it; order a certified copy from the vital records office where the birth was registered. Always check what the recipient accepts before you send.
Send or upload the PDF
Before you share, tap the document title and rename it to something clear, such as "Birth certificate - Jane Doe". That name becomes the file name the recipient sees.
- E-mail: on the Share screen tap Share and pick Mail, Gmail or Outlook; the PDF arrives attached. See how to scan and email a document.
- Upload to a website: save the PDF to your phone's files from the share sheet, then choose it in the website's upload button. The full walkthrough is in how to scan a document and upload it.
- Print: tap Print to send it to any printer your phone can reach.
- Add a password: turn on Protect with password to lock the PDF with AES-256 encryption (Premium), and send the password through a different channel.
Your certificate stays on your phone while you scan: edge detection, filters and the searchable text layer are all processed on the device, with no upload needed. Keep it in a folder such as "Family documents" and you will find it in seconds next time. Applying for a green card or citizenship? Read how to scan documents for USCIS for the paperwork side.

Frequently asked questions
How do I scan a birth certificate on my phone?
Lay the certificate flat on a dark surface in soft light, open Doc Scanner and scan it in Document mode. The app finds the edges and straightens the page. Then tap the share icon, choose PDF with High quality and the Original page size, and share or print it.
How do I scan a birth certificate on iPhone?
Install Doc Scanner from the App Store, tap the camera button, hold your iPhone parallel to the certificate and let edge detection capture it. You can also use the scanner in the Notes app for a quick copy, but Doc Scanner adds quality and page-size choices, filters, folders and a searchable PDF, with no watermark.
Is a scanned birth certificate a certified copy?
No. A scan is a copy of your certificate, useful for your records and for anyone who accepts copies. A certified copy is issued by the vital records office where the birth was registered. If an agency asks for a certified copy, order one from that office.
Why does my scanned birth certificate say VOID?
Many certificates are printed on security paper with a hidden pattern that appears on copies and scans, often as the word VOID or COPY. It is a deliberate anti-copy feature showing that the image is a reproduction. It doesn't mean your scan failed, and it shouldn't be removed.
Can I scan a laminated birth certificate?
Yes. Turn off the flash, use soft light from a window, and tilt the phone slightly until the glare moves off the text. Check the names and dates at full size before you share the PDF.
Is Doc Scanner free?
Doc Scanner is free to download and has a free plan for scanning, signing and exporting PDFs. Premium unlocks text extraction, ID card mode, password-protected PDFs and more.
